Lead routing: why good enquiries die in your CRM

Most lost enquiries were not badly handled. They were never assigned to anyone, or they sat for two days while the customer bought elsewhere.

Ask a business owner where leads are lost and you will hear about pricing or competitors. Look at the data and it is usually simpler: the enquiry arrived, nobody was assigned, and by the time somebody called, the customer had made a decision.

That is not a sales skill problem. It is a routing problem, and routing is the most automatable part of selling.

The four gaps where enquiries disappear

  • Capture. Leads arrive on the website form, WhatsApp, a phone call, Instagram and a business card, and only some of those reach a system.
  • Assignment. Nobody is explicitly responsible, so everyone assumes someone else replied.
  • Speed. The reply comes on day two, when the customer has moved on.
  • Follow up. The first call goes unanswered and there is no second attempt scheduled.

What routing automation should do

Take every enquiry into one pipeline, deduplicate it against existing contacts, apply your qualification rules, assign it to a named person by whatever logic you actually use, and send an acknowledgement immediately.

Then watch the clock. If the assigned person has not made contact within your agreed window, escalate. That escalation rule is the single highest value automation in most sales operations, because it converts an intention into a system.

Qualification rules people can actually agree on

Automating qualification forces a conversation most teams have avoided: what is a good lead. Write it as rules an outsider could apply. Location, budget signal, product interest, company size, urgency.
